Galileo is looking for a service-minded Recruiting Operations Manager to join our highly collaborative People Operations team. This role will be responsible for ensuring that all recruiting operations are streamlined and efficient across the recruiting and hiring process as we hire hundreds of staff each year across the country.

We value divergent thinkers who bring various experiences and viewpoints to the table at Galileo. We strongly encourage members of underrepresented groups and people of diverse backgrounds to apply.

Who are you?

  • You’re inspired by Galileo’s mission and purpose. Innovation education, project-based learning, and working in a professional, welcoming, deeply camp-inspired culture should sound like things you’re ready to explore or sign up for.

  • You’re an organized, performance-driven efficiency strategist. Problem solving makes you downright giddy. You love fine-tuning operational logistics, ensuring program efficiency, and learning new strategies for driving overall performance. You look at the details of life through a lens of optimization, measurement and efficiency and feel responsible for getting things done.

  • You can juggle—and juggle well. You can manage a variety of projects simultaneously. Changing deadlines? Multiple stakeholders? Easy breezy. You manage your time well and are meticulous about the details.

  • You’re a visionary collaborator. You can confidently contribute to a creative vision and have the team-oriented mindset to effectively work with others to realize it.

What’s the job, really?

The Recruiting Operations Manager is both a recruiting process visionary and a deft executor, ready to greet a large-scale hiring operation with eagerness. They not only enjoy putting things in order, but also relish managing details in support of the success of a team. This role will manage one seasonal recruiting specialist. Key responsibilities include:

  • You’ll envision & implement recruiting process (re)designs. You will be the primary driver of our recruiting operations process and act as a consultant to other People Operations subteams, including ensuring our processes incorporate a diversity and inclusiveness lens. This includes reviewing and optimizing our candidate hiring process, implementing process changes, and holding collaborators accountable while ensuring excellent candidate care along the way.

  • You’ll take the reins of our applicant tracking system (ATS), iCIMS, and optimize its usage for all People team functions, as well as hiring managers. You’ll handle ongoing team training, and create & update resources to build deeper ATS competency in our team. You’ll design stakeholder dashboards to support unique workflows by role.

  • You’ll manage the interview scheduling process for all hiring categories from design to implementation to training coordinator & specialist teammates on execution.

  • You’ll continuously improve our recruiting operations, with a focus on automation, scalability and candidate experience.

  • Bachelor's degree or equivalent experience
  • 2+ years of experience in recruiting operations or other administrative roles demonstrating increasing levels of responsibility
  • Experience with applicant tracking systems, especially iCIMS
  • Experience with ticketing and project management, preferably at scale
  • Experience in project management, managing work plans and interfacing with multiple teams
  • Computer savvy: solid command of Excel and Google docs and ability to pick up new software and technology
  • Skill at and experience with soliciting and implementing feedback to improve performance
  • Readiness to stick around: we find that our team and team members benefit from a 3 year minimum commitment.

Research shows that while men apply to jobs when they meet an average of 60% of the requirements, women and other underrepresented people tend to only apply when they match every criteria. If you think you have what it takes, but don't necessarily meet every check box in this job description, we encourage you to still apply. We'd like to learn more about you and see if you could be a great fit for Galileo.
